How Does Fundraising Work

Submit a registration form. Please ensure you have a completed W9 or 501c Determination to upload with your submission.

Once your event is approved, you may begin promoting your event. We provide flyers and advertising tips to make your event more successful.

Either 20% at participating Panera Bread or 30% at participating Noodles & Company and Wendy’s of the total qualified net sales* from your designated and registered fundraising event will be donated to your approved organization. Minimum sales requirement is $100 per fundraising event. Compete details on percentage of net sales to be donated will be provided during the event registration process. Guests dining in cafe should provide a physical or digital copy of the flyer to the cashier. Guests ordering online should enter the promo code found on the flyer prior to electronic payment. You do not need to be present during your event.

We will receive an email with the results of your fundraising event within 10 business days of the event. A check will be mailed to the mailing address on file and will arrive within 8 weeks.

We love to partner with our community! Our fundraising program is our way of giving back to the communities we serve.  While gift cards or food donations are not offered, fundraisers allow federal tax-exempt organizations to earn 20% or more of qualified net sales* donated back on an approved restaurant fundraiser day.  Book now.

No, it is not necessary to contact the store. Your fundraising coordinator will arrange all of the details with your organization and the preferred location.

Due to the popularity of our fundraisers, we must limit the number of participating restaurants to one. To maximize your results, please choose the restaurant that is most centrally-located for your supporters.  Limit of one fundraiser at one location per month, per brand.  Additional date approval is conditional based on past successful events.

In order for your purchase to count towards your fundraiser, your supporters must either show a physical fundraiser flyer or a digital flyer on a smartphone or other mobile device.  For Panera Bread and Noodles & Company fundraisers an online ordering code is also available to place an order for pickup through the brand app or website.  Wendy’s does not offer APP or online ordering for fundraisers.

One last thing, let’s make sure we’re a good fit for a partnership!

• For a sale to be qualified, a flyer must be presented by either presenting the cashier a paper flyer or showing the cashier an electronic image of the flyer (via a smart phone/tablet) at the time of sale.
• Tax is not credited, only pretax, net sales.
• A Fundraising Day must generate no less than $100 in qualified sales to receive a donation check.
• The Fundraising Day can be terminated for any reason without notice such as distributing flyers on the day of the fundraiser within the vicinity of the restaurant, i.e.; entrance, parking lot.
• All required documents (W9 Form or 501c Determination Letter) must be complete and on file before a Fundraising Day can be confirmed.

*Panera Bread donates 20% of qualified net sales when a fundraiser flyer is presented. Wendy’s donates 30% of qualified net sales when a fundraiser flyer is presented. Noodles & Company donates 30% of qualified net sales when a fundraiser flyer is presented. Complete details on percentage of net sales to be donated will be provided during the event registration process. A $100 minimum event sales amount is required to be eligible to receive any donation of event sales. In order for purchases to count towards your fundraiser, your supporters must show a physical fundraiser flyer or a digital flyer image on a smartphone or other mobile device OR use your fundraiser’s online ordering for participating brands. Wendy’s fundraisers exclude APP and online orders, while Panera Bread and Noodles & Company include a special online code to enter for online orders made via brand APP and website. Orders placed at a different time/location than your scheduled event will not count towards your fundraiser. Gift card purchases, catering orders, and orders placed on third party delivery (Door Dash/UberEats/Grubhub/Etc.) sites are excluded and will not count towards the total net sales from your designated fundraising event. This offer will be void if flyer is distributed in or near the participating bakery-cafe. Fundraising events may be cancelled.

Payment and Check Information

To receive a check, we require your organization to bring a minimum of $100 in total sales.

You will receive an email with the donation total within 10 business days of your scheduled event.

Gift cards, catering orders, and third-party delivery orders are excluded and will not count towards event sales total. In addition, Wendy’s fundraisers do not include APP or online orders.

No, the purchase of a gift card will not count towards event sales. You may however, use a gift card as a form of payment.

We don’t need staff or team members to be there during the fundraiser to facilitate, however, keep in mind that you do need your supporters to show up and show our cashiers that they’re there supporting the fundraiser with their flyer (which is how your group raises funds for the event). The more money spent by your supporters, the more you receive back!

Our fundraisers are popular, and we want to accommodate as many different groups as possible. As a result, we would be happy to schedule another fundraiser for your organization as long as the restaurant schedule is available. Organizations can book up to one fundraiser at one location per month, per brand. Approval is conditional based on past successful events.

For Panera Bread fundraiser, please click on the link in your confirmation email fundraiser.  For other brands, email fundraising@teamhamra.com to cancel your event. We understand life happens, but as a courtesy, please try to cancel your event at least 72 hours prior to your event.

For Panera Bread fundraisers, please click on the Panera Bread link in your confirmation email. Here you will be taken to our Fundraising Portal at https://fundraising.panerabread.com/ where you can request a date change.

For Wendy’s or Noodles & Company fundraisers, please contact fundraising@teamhamra.com

For Panera Bread fundraisers, a link to download your Panera flyer is found in your confirmation email. You can also access the flyer by logging into the Panera fundraiser portal at https://fundraising.panerabread.com/ and clicking on your approved event. The flyer can be found in the “create” tab in your event reservation. If you are having trouble obtaining it, please reach out to us.

Application Tax ID Questions

No problem! If you’re okay with the check being made payable to the district and school, we can accept the W-9 Form of your school district and school. Any earned donation would be written to the school district/school.  A school secretary or administrator can often help you secure the school’s W9 Form information.

We’d love to, but the IRS requires we verify fresh tax information for each organization that we partner with.

Promoting Your Fundraiser

All promotion must be done ahead of time and not in our restaurant or on the premises to our regular customers. Violating this policy may result in your fundraiser being cancelled.

We are thrilled to support your organization with our fundraiser, but we won’t be able to accommodate tables, donation jars, decorations, or distribution of information. We need to do everything in our power to be the very best neighbors to our surrounding businesses, and also ensure that we are making those guests who are not dining with us in conjunction with your fundraiser feel at home and unsolicited.

Donation Check Questions

Tips to Promote a Fundraiser

Your organization will be responsible for promoting your fundraiser through whatever communication vehicles you have available.

  • Put a flyer in your organization’s newsletter.
  • Announce your fundraiser on your website and add a link to a downloadable PDF of the flyer.
  • Attach the flyer to an e-mail going out to the family, friends, office, etc.
  • Post your event on your local newspaper event page. They’re always looking for information on charitable events in the community.
  • Pass our flyers during the large gatherings, group meetings, training sessions and area sporting events.
  • Announce the fundraiser on the P.A. system at a local event.
  • Share the details in your online invitations and social media.
  • If you’re a school, send the flyers home to the parents with the kids.
  • Most importantly, cast a wide net. Talk to everybody. The more people that come to your fundraiser the more money your organization will earn.
  • Don’t procrastinate! Start promoting as soon as you receive your flyer.
  • Don’t forget to remind everyone before the event. The more times people hear it the more likely they are to remember to go.
